Below you will find answers to common questions regarding registration, accommodation, travel, and more for the WFRS 20th World Rose Convention. If your question is not listed here, please reach out to us directly for further assistance.

Q: What are some things I can do in Fukuyama?
A: Fukuyama is a city rich in history, culture, natural beauty, and culinary experiences.

Q: Can I get help with my visa application?
A: Visa support details, including the application process, will be published on the WRC2025 official website in January 2025. Visa applications will begin in February 2025.
Q: Can you tell me how to reach Fukuyama from my country?
A: There are some major airports in Japan.
1. Narita International Airport (NRT)
Narita Airport, serving the Greater Tokyo area, is a major international gateway, offering an extensive network of 102 routes to 101 cities across 38 countries and 3 regions (as of May 2024). Its global connections make it an excellent entry point for international travelers.
2. Haneda Airport (HND)
Another Tokyo-based hub offering extensive domestic and international connections.
3. Kansai International Airport (KIX)
Located near Osaka, ideal for exploring western Japan before heading to Fukuyama.
From those airports, getting to Fukuyama is straightforward:
By Air: Hiroshima Airport (HIJ) is the closest airport to Fukuyama, with a direct one-hour bus service to the city.
By Train: Fukuyama Station is a key stop on the Sanyo Shinkansen line, providing high-speed connections to major cities across Japan

Q: Can you arrange pick-up services for individuals from Hiroshima Airport?
A: I’m sorry, but we cannot arrange them.
However, our volunteer staff who can speak English will be waiting at the airport, and they can tell you how to reach Fukuyama, or what public transportation options are available.
Of course, taxis are also available from there, which takes approximately 1 hour 30 minutes.
In the case that we find many participants are expected to arrive at Hiroshima airport around the same time and on the same day, we shall consider arranging some limousine buses from the airport to Fukuyama.

Language
Q: What kind of language support is available during the Convention?
A: The official language of the Convention is English, and all programs will be conducted in English. For interactions with rose garden managers, members of the Japan Rose Society, or Fukuyama residents who may not be fluent in English, volunteers will be available to assist with basic communication. Some volunteers can also speak languages such as Spanish, Chinese, and Korean, which may help facilitate communication.
Please note that these volunteers are not professional interpreters. Their role is to help understand and convey basic needs or requests during interactions. Additionally, volunteers may not always be available. If you have concerns about communicating in English, please feel free to contact the organizing office for assistance.

Q: I am trying to register but cannot submit my application.
A: Please contact the Registration Desk for assistance.

Q: Can I change from a full-day pass to a one-day pass after registration?
A: Yes, it is possible to change your pass type, but you cannot modify the registered name, email address, or pass type by yourself. To make these changes, please email the WRC Desk(wrc2025-regist@or.knt.co.jp), and we will assist you with the updates.
Q: How do I register a couple for the Convention? Do I need to make 2 separate registrations?
A: If the person registering alongside you wishes to attend the WRC2025 lectures, they will need to register separately from the main delegate. If they do not plan to attend the lectures but wish to join the Day Tour(s), please register them as an Accompanying Person through My Page.
Note: If the person does not plan to participate in any part of the Convention program, registration as an Accompanying Person is not required. However, hotel reservations for two people can still be made.
Q: How can I confirm if my registration was successful?
A: After completing your registration, you will receive an automatic confirmation email from the Registration Desk (WRC2025-regist@or.knt.co.jp). The subject line of this email will be:
Subject: WFRS 20th World Rose Convention – Registration Entry Notice / 参加申込受付通知 – Registration No.
This email will include details about your registration status and the information needed to log in to your My Page. Please make sure to keep this email for future reference.
Q: What should I do if I lose my registration information?
A: If you lose your registration details, please contact the Registration Desk for assistance.

Q: Can I experience the atmosphere of the Rose Conference by attending the Opening Ceremony, Lunch Party, and Welcome Reception with a One Day Pass?
A: Yes, with a One Day Pass, you can attend the Opening Ceremony, Welcome Lunch, and Welcome Reception, as well as select lectures on the May 20, 21, 23, and 24. For more details on the lectures, refer to: Our Website (Lectures).
Please note that on the May 22, there are no lectures, but you will participate in a day trip to Hiroshima.
Separate fees apply for some events:
– Welcome Reception: JPY 5,000
– Lunch Party: JPY 3,000
Q: What events can I attend with my pass?
A: The Full-Day Pass and One-Day Pass offer different inclusions:
– The Full-Day Pass includes the Welcome Reception (May 18th) and Lunch Party (May 19th).
– The One-Day Pass does not include these but allows access by paying an additional fee.
– The Farewell Dinner (May 24th) requires separate fees for both Pass types.
Note: Until April 30th, 5:00 PM (Japan Standard Time), you can register for additional programs along with your main pass (Full-Day or One-Day Pass) through your My Page account. If you’re uncertain about which events to attend, you can modify your selections later.
Q: If I have over two accompanying persons, how should I register?
A: Please contact the WRC Desk. Note that registration for accompanying person is limited to family members.
Q: How does group registration work?
A: Group registration is possible, but each individual must register separately due to the registration system. If you wish to register as a group, please contact the WRC desk.
Q: Is it acceptable to make hotel reservations individually rather than through the convention office?
A: While we recommend making reservations through the WRC Organizing Committee, as hotel options will be available on the convention website starting October 21, 2024, it is also acceptable to make individual reservations if you prefer.
In addition, the hotels we offer will give you discounts and have a convenient access to the main venue.
Q: How can I cancel the registration?
A: Please contact the Registration Desk for assistance.

Payment
Q: What costs will I have to pay myself if I want to participate in the full program as an early bird?
A: (Early Bird) Full-Day Pass: ¥100,000, Farewell Dinner and Awards Presentation (May 24): ¥12,000, and accommodation fees.
Q: I get errors in credit card payment.
A:Please contact your credit card company to check the details of the error.
If the error persists, we will provide an alternative payment URL from the Registration Desk.
Alternatively, you may try using a different card for payment.
If the issue is still unresolved, we kindly suggest making a bank transfer.
Q: How can I confirm if my registration fee payment was successful?
A:
– For payments by credit card, a payment confirmation email will be sent automatically to your registered email address.
– For payments by bank transfer, an individual confirmation email will be sent as soon as we confirm your payment.
Pre- and Post-Convention Tours
Q: I can’t log in to the Pre-/Post-Tour system. How can I register for a tour?
A: Pre-/Post-Tour registrations are handled through a separate system from the main Convention registration. You cannot use your Convention registration account to log in to the tour system. Please re-enter your details to create a new account for the tour booking.

Q: Is there a package tour that includes the bullet train, accommodation, and convention registration?
A: WRC2025 offers 5-night, 6-day Pre-/ Post-Convention Tours, but we do not sell individual tickets for transportation to Fukuyama or packages that combine train tickets, accommodation, and registration fees.

If you are unsure how to reach Hiroshima Airport (HIJ) or Fukuyama Station, please contact the Registration Desk (WRC2025-regist@or.knt.co.jp) for assistance. Once you arrive, volunteers will be available at Hiroshima Airport and Fukuyama Station from May 16 to 18 to guide you to the venue.

Q: I still have questions about the convention details, getting around Fukuyama, or access to the venue. Will I receive more information after completing my registration?
A: Yes, we will provide additional details to help you plan your visit, including useful tips for first-time travelers to Japan and highlights of the Convention program. As we approach the end of the Early Bird Registration period and more attendees complete their registration, we will increase the frequency of updates via E-mail.
