Japan offers visa exemption for short-term stays to citizens of certain countries and regions.

Deadline for Visa Support Requests

April 11, 2025 [JST = UTC+9]

* This deadline and visa support documents do not guarantee visa approval.

Applicants must meet all of the following conditions to request our visa documents support:

- You have completed the online registration.
- Your registration fee and visa support fee have been paid in full.

*Visa support fee: 15,000 JPY/per person/ non-refundable for any reason
(This fee does not include any visa application fees charged by Japan Embassy or Consulate in your country)
*The WRC2025 Organizing Committee receives the right to decide whether or not to provide you with a personal guarantee.

The following documents will be issued to the applicants who have met all of the above conditions:

- Invitation letter (from the organizing committee)
- Letter of guarantee
- Letter of reason for invitation
- Schedule of stay

The maximum guarantee period for WRC2025 is as below.

From May 15 (Thu.), 2025 to May 26 (Mon.), 2025

- Since obtaining a visa may take time, we recommend that you contact the Japanese Embassy/Consulate General as soon as possible to inquire about the detailed procedure and required documents. (requirements may vary depending on local circumstances and the purpose of your visit, please consult the Embassy/Consulate General directly.)

- Preparing the visa documents may take one week or longer, and additional time may be required for delivery. We recommend applying for a visa about 1.5 months before your departure date.

- Preparing visa documents does not guarantee entry into Japan. The visa application process at the Embassy or Consulate‐General of Japan in your country is your responsibility (including any fees to be paid to the Embassy or Consulate for visa application and issuance), and WRC2025 holds no liability for this or for any travel expenses, including flight tickets, hotel booking, etc., that may arise from an inability to obtain a visa.

- All the visa documents issued by us will be sent to you by email.
Only if the Japanese Embassy or Consulate General in your country requires the original documents, they will be sent by EMS (or DHL).
Please note that in such cases, applicant must cover postage fees, which will be verified and charged separately.
The postage fees must be covered in advance by the applicant (the actual cost will be verified and charged to you).

- If you transit through other countries in route to Japan, it is your responsibility to check and arrange for any required transit visas.

- We DO NOT provide any support for free invitation letters.

To prepare the visa support documents, we require the following information.
Please have these details (including a copy of your passport) ready when you contact the Visa Support Desk.

• Copy of your passport* (photo page/ in PDF or image files)

  *If your passport will have less than 6 months of validity upon your arrival in Japan in May 2025, we recommend renewing it before contacting us or applying for a visa.
  If you are concerned, please contact your Japanese embassy or consulate in your country first.

• The name of Japanese Embassy or Consulate General where you will apply your visa.
• Flight information (Date/Flight numbers):

  -Arrival in Japan
  -Departure from Japan

• Accommodation information in Japan:

  -Name of the hotel/accommodation
  -Check-in/Check-out dates
