Registration Period

Registration fees vary depending on the application period. We kindly ask those who hope to participate to register at your earliest convenience.

Registration & Other Fees

For WRC2025 registration, you can choose between the "Full Day Pass" which allows participation in all lecture programs throughout the event period, and the "One Day Pass" which allows participation for only the day you choose. We also have an "Accompanying Person Pass" that allows to accompany the delegate on day tours.

Fees are in JPY (Japanese yen) / Tax included

To qualify for the early bird rate, the payment must be completed by the deadline for the early registration, January 6, 2025 (17:00 JST).
Accompanying persons has no access to lectures, and registration for accompanying person is limited to family members. If you have more than 1 accompanying person, please send an inquiry to the WRC2025 Registration desk by email (wrc2025-regist@or.knt.co.jp).

What included in the registration fee

* Day tours require pre-selection of the course you hope to participate in.
* By choosing One Day Pass you can attend Fukuyama Street Dining, but no benefit is included.

What NOT included in the registration fee

Full Day Pass:

Farewell Dinner and Awards Presentation (May 24), Pre Tours / Post Tours

One Day Pass:

Welcome Reception (May 18), Lunch Party (May 19), Farewell Dinner and Awards Presentation (May 24), Pre Tours / Post Tours

Accompanying Person Pass:

Lectures, Welcome Reception (May 18), Lunch Party (May 19), Farewell Dinner and Awards Presentation (May 24), Convention Kit, Morning Tea, Pre Tours / Post Tours

Day Tours

Participants registered for WRC2025 are able to join the Day Tours held on the 3rd to 6th day of the convention. The registration fee includes the day tours, which require pre-selection of the course you hope to participate in. (Application Deadline: February 21, 2025) Please apply for the respective daily participation courses when registering for WRC2025.

Visa Application Support / Visa for entry to Japan

Visa Application Support service will start in February, 2025.

Payment

Payment should be made in Japanese Yen (JPY) only, either by credit card or bank transfer, by the deadlines specified as below.

* No registration and/or reservation will be confirmed without this payment (if any).
* Checks and cash are not accepted.

Credit Card

(VISA, Mastercard, JCB or AMEX only)

* Please use a credit card that is valid at least until June 2025.
* The recipient listed on the credit card statement is “Kinki Nippon Tourist Co., Ltd," but the recipient name may be slightly different depending on the card company.
* Credit card transactions may appear on your credit card statement after two or three month due to credit card company reasons.

Bank Wire Transfer　*Not Available for the payments after the late registration deadline of April 30, 2025.

* Bank transfer must be made in full amount without any deduction of transaction charges.
* Please include your “Registration Number”, 5 digits starting from “1” in the sender’s name.
* When making a collective bank transfer, please inform the name of participant and registration number, 5 digits starting from “1” by email to the WRC2025 Registration desk.

Invoice & Receipt

You can download invoice/receipt of Registration and Social Program fees from “my page” of the registration system. We do not accept requests to send them via postal mail.

Modification / Cancellation / Refund Policy

Modification

You can modify the registered information except for the name, email address and the selected type of convention pass from “mypage” by January 6, 2025 (17:00, JST).
If you need to make a modification or cancellation after January 7 or after the payment has been completed, please contact WRC2025 Registration desk by email (wrc2025-regist@or.knt.co.jp).
The date and time of the modification and cancellation will be processed during the working hours (Mon - Fri 10:00-17:00 [JST = GMT+9] except national holidays).
Cancellations made after working hours will be processed on the next working day, and may incur charges.

Cancellation Policy for Registration and social program(s)

* Refund handling fees will be charged separately.

Refund

Refunds will be made either before or after the convention with a deduction for the refund operation fee (JPY5,000) and the cancellation penalties. If payment was made by credit card, the refund will be made to the same credit card within 180days from the date of the payment. If the refund needs to be made by bank transfer due to credit card issues or if the refund is requested more than 180 days after the payment, please inform us of your bank account detail (Account Holder’s name, Bank Name, Account No., Bank Postal Address) by email. The full amount will be refunded to the credit card that was used for payment and the refund handling fee will be deducted from the credit card, or the refund handling fee and cancellation fee will be deducted from the credit card. If the payment was made by bank transfer, the refund will be made to your bank account. Please inform us of the bank account detail (Account Holder’s name, Bank Name, Account No., Bank Postal Address) by email.

WRC2025 liability limitation

* In the event of an industrial disruption or natural disaster, the World Rose Convention 2025 in Fukuyama (WRC2025), the organizing committee, management and service providers and supporting organizations do not accept responsibility for any financial or other losses incurred by exhibitor companies, personnel, and conference delegates (hereafter referred to as participants), nor for injury or damage to persons or property occurring during or in relation to the WRC2025 in Fukuyama. All insurance, including medical coverage, or expenses incurred in the event of the cancellation of WRC2025 are the responsibility of the participant.

* Participants are encouraged to take out a travel insurance policy that covers fees due to cancellation of your participation in WRC2025, or the cancellation of the event itself; airfares for any reason; loss or damage to personal property; additional expenses; and repatriation should travel arrangements have to be altered. WRC2025, the organizing committee, management and service providers, and supporting organizations will take no responsibility .

Corporate 3rd Office, Kinki Nippon Tourist Co., Ltd. (KNT) has been appointed as the official agency who handles registration for the World Rose Convention 2025 in Fukuyama (WRC2025).
